Privacy Policy

Sharebook is a shared financial ledger for business partners. This policy explains what information we collect when you use Sharebook, why we collect it, how we store and protect it, and the choices you have. We keep it plain because the whole point of Sharebook is trust.
Information we collect
We only collect what we need to run the service:
- Account information — your name, email address, and a securely hashed password. If you were invited to a business, we record who invited you and your role.
- Financial data you enter — the businesses, partners, ownership shares, and ledger entries (income, expenses, salary, withdrawals, funds added) that you and your partners record. This is your data; you own it.
- Operational logs — basic technical logs (such as request timestamps and error traces) needed to keep the service secure and working.
We do not use third-party advertising trackers, and we do not build advertising profiles from your data.
How we use your information
- To provide the core service — recording entries, computing profit splits and settlements, and showing each partner their position.
- To authenticate you and enforce role-based access, so each partner sees only what they should.
- To send transactional email — for example, email confirmation and password resets. These are sent through Amazon Simple Email Service (AWS SES).
- To maintain security, prevent abuse, diagnose problems, and back up your data.
We do not sell your personal or financial data, and we never share it for marketing.
How your data is stored and protected
- Your data is stored in a self-hosted PostgreSQL database on a private server. The database is not exposed to the public internet.
- All traffic between your browser and Sharebook is encrypted in transit over HTTPS (TLS), with certificates issued by Let’s Encrypt.
- Passwords are stored only as salted one-way hashes — never in plain text. Sessions use signed JWT tokens.
- Access is role-based; partners can only reach the businesses and records they have been granted.
Third-party services
Sharebook relies on a small number of infrastructure providers to operate. The most relevant to your data is Amazon Web Services (AWS SES), which delivers our transactional email. These providers process data only to perform the service we request of them and are bound by their own terms and privacy commitments.
Data retention
We keep your account and financial records for as long as your account is active, because historical entries are what make year-end settlement and audit trails possible. If you close your account, you can request deletion of your personal data as described below.
Your rights and choices
- Access and correct your account information from within the app.
- Request a copy of, or the deletion of, the personal data we hold about you.
- Withdraw consent or close your account at any time.

Changes to this policy
We may update this policy as Sharebook evolves. When we make material changes, we will update the date at the top of this page and, where appropriate, notify you in the app or by email.
